What a prepared RFQ looks like

Email and attachments become one checkable draft: every requirement with the document and page it came from, every gap flagged, and the clarification to your customer written out.

Fictitious example in three steps: 1. a dairy emails an RFQ for a CIP system with specification, P&ID and media list; 2. checked: system, circuits, flow rate, wetted parts, hygienic design and commissioning, each with its source, missing controls interface and acceptance scope flagged in red; 3. if nothing is missing, a quote draft with line items from spec and P&ID, prices set by your estimating; otherwise the clarification email to the customer, drafted for your team to review and send.

  1. 30-minute call

    We check whether enough RFQs come in. From about 40 a week across your group it pays off. Below that, we tell you so.

  2. Week 1

    You pick 20 closed RFQs with the quote you sent. Together we measure how long preparation takes today.

  3. Weeks 2–3

    We prepare all 20. Your engineer checks them against the original quote. Then a results call with the numbers.
